HOW TO PROTECT YOUR MICROSOFT WORD FILE WITH A PASSWORD

Most people use Microsoft Word but sometimes you don’t want everyone to be able to read or modify your documents. There are two options for securing your Word files, you can either set a password to open the document or you can set a password to restrict anyone from modifying the document. The methods are slightly different depending on whether you’re using Word 2007, 2010 or 2013 methods for all these versions will be covered here.

Word 2007
1. Setting a password to open a Word file:
• Click on the round Microsoft Office logo in the top left corner.

• Move your cursor down to “Prepare”.

• On the menu that pops up to the right, click on “Encrypt Document”.

• In the “Password to open” box type your password into the Password field and click OK.

• In the “Confirm Password” box type your password again and then click OK.

• Finally, save the file. It will now be password protected.

2. Setting a password to modify a Word file:

• Click on the round Microsoft Office logo in the top left corner.

• Click “Save As”

• At the bottom of the “Save As” box click on tools.

• On the drop down menu that appears click on “General Options”.

• In the “Password to modify” box type your password.

• Type your password in the “Password to Modify” field.

• In the “Confirm Password” box, re-type the password.

• Save the file.

3. Removing password protection from a Word file:

• First, open the document using the password if required.

• Follow the steps above to set a password to either open/modify the file.

• When the dialog box asking to choose a password appears, clear all password fields and click OK.

• Save the file.

Word 2010 & 2013

1. Setting a password to open a Word file:

• Click on the blue “File” tab at the top of the screen.

• Click on Info

• Click on “Protect Document”.

• On the pop up menu that appears, click on “Encrypt with Password”.

• A dialog box will appear, enter your password and click OK.

• Save the file.

2. Setting a password to modify a Word file:

• Click on the “Review” tab near the top of the screen.

• In the “Protect” section, click on “Restrict Editing”.

• In the “Formatting Restrictions” and “Editing Restrictions” sections you can choose what

restrictions to put on the document.

• Click on “Start Enforcement”.

• Enter a password where prompted then click OK.

• Save the file.

3. Removing password protection from a Word 2010/2013 file:

How to do this depends on whether you’re trying to remove editing restrictions or a password which

prevents opening the file.

To remove a password that restricts opening the file:

• First, open the document using the password.

• Follow the steps above to set a password to open the file.

• When the dialog box asking to choose a password appears, clear all password fields and click OK.

• Save the file.

To remove editing restrictions:

• Open the document.

• Attempt to edit some text, for example, try to delete a word.

• The “Restrict Formatting and Editing” box will appear on the right side of the screen.

• Click on “Stop Protection” at the bottom of the box.
